The Corporate Services and Finance Directorates, combined, work across our organisation to provide the necessary professional support services required to deliver on our organisational aims and strategy.  

We cover HR, IS/technology, corporate strategy and planning, governance, legal, secretariat, fire, health and safety, financial planning/accounting, procurement and internal communications and engagement 

This is an exciting opportunity for a highly organised and professional individual to provide comprehensive and executive business support service to Director of Corporate Services Finance Director and all related business areas. 

This role will play a key part in providing the necessary administrative support across the Corporate Services directorate and Finance directorate coordinating diaries, arranging meetings and providing in meeting support for the departments that make up our Corporate Services team. 

You will also provide the financial support in  raising purchase orders, paying invoices and keeping up-to-date financial records, including within the archiving system for the department.  

You will support the Governance and Planning Manager in coordinating the secretariat function and record-keeping for governance matters  and in managing statutory records and filing.  

To be successful in this role you will have strong planning skills, excellent communication, and the ability to manage multiple workloads and priorities. You will be handling highly confidential and sensitive data regularly and must therefore operate with the highest level of tact and diplomacy. As a naturally confident person, you will be able to work autonomously as well as with a team and will be able to remain flexible and calm under pressure.  

Your experience must come from an administrative support or office management environment where you were involved in digital communication and monitoring/controlling budgets. Your highly developed technology skills will include a high aptitude for MS Office as well as sound knowledge of business processes and financial systems. You will be skilled at drafting correspondence and meeting minutes, and adept at record keeping and filing.  Experience of the heritage or cultural sector would be beneficial, as would a knowledge of Efin or other accounting software.
